Section: Substitution of Courses

A substitution is considered to be a replacement of any program requirement and/or elective. That replacement may be in the form of a course transferred from another institution, a UMM course, testing out of a UMM course, and/or properly documented and approved prior learning. (See procedure for Credit for Prior Learning or Work Experience.)

Normally, in all cases of substitutions, academic credit(s) is granted. Only the approved academic credit for the substitution is counted toward graduation requirements (the academic credit normally given for the requirement/elective being replaced is not considered). If for some reason credit is not granted for a substitution, the total number of credits required for graduation does not change.

Students seeking a substitution for any program requirement and/or elective must follow the procedure outlined below:

For courses transferred from another institution:

  • Have an official transcript sent from institution to the UMM Registrar
  • Registrar evaluates transcript and enters analysis and recommendation on form title "Evaluation of Academic Record for Transfer Credit".
  • Recommendation of Registrar goes to academic advisor of student for review and approval or rejection.
  • If approved, form is returned to Registrar and substitution is official.
  • If rejected, Registrar and advisor consult and resolve problem. If necessary the appropriate Division Chair is called in to resolve any problem.
  • No fee is charged for this procedure.

For UMM courses to substitute for UMM requirements:

  • Prepare a written request clearly requesting a substitution and clearly stating the reasons for the substitution request.
  • Submit the substitution request to their academic advisor for evaluation.
  • Recommendation of the advisor goes to the division for review and approval/rejection.
  • If division approves, the Division Chair send s memo to the Registrar and substitution is official (copy of memo is sent to the advisor) and student is notified by Division Chair.
  • If request is rejected, the Division Chair notifies the student is writing.
  • The fee for the substituted course is that same as any regular course. No fee is charged for this procedure.

Credit by examination requested by student. (This does not include placement tests).

  • The student makes a formal request to the chair of the division that is responsible for the course in question. The request must be in writing and must specifically request that the student be allowed to attempt to test out of the course in question and to use that testing out (if successful) as a substitution for the course.
  • If the division agrees that credit by examination is justified, then the division chair will consult with the faculty member(s) who normally teach the course and an exam will be prepared for that individual student.
  • If the student passes the exam (passing grade to be determined by Division policy re: testing out of courses), the division chair notifies the student, the advisor and the Registrar’s office in writing and the "substitution" is final. academic credit is given for the course.
  • If the student does not successfully pass the exam, the substitution is denied. In this case the division chair notifies the student and the advisor in writing.
  • A fee will be charged for the procedure outlined above whether or not the student is successful in passing the exam.

For substitutions involving Credit for Prior Learning or Work Experience, the approved Prior Learning or Work Experience MUST be reviewed now as a substitution as follows: (See Procedures for Prior Learning or Work Experience.)

  • Prepare a written request clearly requesting a substitution and clearly stating the reasons for the substitution request.
  • Submit the substitution request and one copy of the Credit for Prior Learning or documentation their academic advisor for evaluation.
  • Recommendation of advisor goes to entire division for approval/rejection.
  • If both advisor and division concur and approve request, division chair notifies the student and prepares a memo indicating action taken and submits that memo to the advisor and the Registrar making the substitution official.
  • If the request is rejected by the division, the substitution is not accepted, and the division chair notifies the student in writing.
  • There will be no fee charged for the procedure outlined above. However, a fee will be charged for the assessment of the Prior Learning documentation whether or not credit(s) is granted.
  • Where there is no such division, the request is to be made by the Vice President for Academic Affairs.

In all cases, the request for a substitution, other than a core requirement, is a divisional matter with final approval resting with the division as outlined above. (NOTE: Substitutions are not required when using Prior Learning as a free elective to meet credit hour requirements for graduation.
